If your platform is not listed, send us your label template and we configure it at our facility before shipping.
Consumables Included
Every printer rental includes a full supply of consumables for your event. Zebra thermal badge printers ship with thermal paper rolls sized and cut to your badge dimensions. Zebra ZD500 label printers ship with label stock and, for thermal transfer models, ribbon in the correct width. HP laser printers ship with a full toner cartridge. We calculate consumable quantity based on your estimated attendee or print volume and include 20 percent buffer stock as standard.
Delivery, Setup and On-Site Support
All printers ship via overnight FedEx to any US address with return labels included. On-site technician setup is available in Las Vegas, New York, Los Angeles, Chicago, Dallas, Miami and Atlanta. As a general guide: up to 200 delegates needs 1 printer, 200 to 500 delegates needs 2 printers, 500 to 1,000 delegates needs 3 printers, 1,000 to 2,000 delegates needs 4 to 6 printers. These figures assume a 2-hour registration window. If your registration window is shorter, increase the printer count proportionally. We advise on the correct quantity when you enquire and include a pre-configured spare unit for orders of 3 or more printers.
Can the printers be pre-configured before delivery?
Yes. Every printer is pre-configured to your event specification before dispatch. For Zebra badge printers, we load your badge template, set the label dimensions, calibrate the paper feed and test a full print run before the printer ships. For laser printers, we install any required drivers and connect to your network credentials where possible. You do not configure anything at the venue.
What is the minimum rental period for a printer?
The minimum rental period is one day. Daily, weekly and monthly rates are all available. Multi-day conference rates are calculated on the total number of days from delivery to collection. For events running Monday to Wednesday, a 3-day rate applies even though the printer may only print on Monday morning.
